With the advent of GDPR in May 2018, it seems that privacy is taken more seriously. GDPR not only forces translation and other companies to think about the way they are collecting data, but it also obligates them to protect their data and report about possible unauthorized use of personal data in time. The question that is on most people’s lips nowadays is: are we ready for GDPR? At Yamagata Europe, we can reassure you we are.

With the GDPR or General Data Protection Regulation, the European Parliament, the Council of the European Union and the European Commission want to strengthen and unify data protection for all individuals within the European Union. GDPR will be in effect from May 25th, 2018 onwards.

What does GDPR mean for you?

GDPR will provide EU citizens more control over personal data that is handled by companies. In short: GDPR is about the right of access, rectification, erasure, the right to be forgotten, the right to limit processing, the portability of data and, last but not least, the right to object.

More specifically, it means that:

  • Companies need to inform people in a transparent way about how they collect and process personal data.
  • Companies need to be able to provide a copy of the data record when people ask for it.
  • Companies need to be able to correct and delete personal information when requested.
  • Companies need to report on data leaks within 72 hours.
  • People need to be able to transfer their personal data from one company to another.

The right to be forgotten

At Yamagata Europe, we think GDPR is a good thing. People are concerned about the use of their personal data and they have the right to be forgotten. In a survey conducted by marketing software company HubSpot, 81% of the respondents agreed that personal data laws are a good thing. After being given a description of the GDPR specifically, 90% agreed the principles set out under the GDPR were good for consumers. The HubSpot survey also revealed that 59% of European consumers would even ask a company to completely delete their details and history from their databases.

At Yamagata Europe, we have always been concerned about the privacy of our customers, partners and suppliers. But with GDPR getting more attention, we feel it’s a good idea to explicitly talk about the ways we want to guarantee full control and safety of your personal data.

  1. Yamagata Europe’s translation portal is a secure, server-based environment where our translators can transfer their work and manage their personal data in all safety.
  2. All our freelance translators have signed a Non-Disclosure Agreement (NDA) that includes the responsible use of confidential  data.
  3. We pay attention to data minimization and make sure that we only collect as much data as is necessary to successfully accomplish a certain task.
  4. We consider rights management and keep a close eye to who has access to what information within our organization, both in our systems and in our processes.
  5. We clearly communicate what happens to the data we collect on our website, in our newsletters, or through other means of communication.

GDPR: an opportunity for translation companies

Many companies today take their customers’ and partners’ data privacy seriously and already comply to GDPR to a certain extent. At Yamagata Europe we are considerate about all of our customer data and we work in the spirit of the international information security standard ISO27001, which our Japanese mother company complies to.

Full compliance to GDPR does require some work, but we like to see GDPR as an opportunity. For one thing, GDPR offers a clear framework to work with for companies all over Europe.
